Complaints Policy

At the Center for Professional Counseling, we are committed to providing high-quality services in a respectful, ethical, and professional manner. We recognize that, at times, clients, students, or other stakeholders may have concerns or complaints. This policy outlines how complaints can be raised and how we address them promptly and fairly.

1. Purpose

This Complaints Policy is designed to:

Ensure that anyone who interacts with our services feels heard and respected.

Provide a clear and transparent process for raising and resolving complaints.

Promote continuous improvement in our services, communication, and practices.

2. Scope

This policy applies to:

Clients and service users

Students and trainees

Collaborators, partners, and other stakeholders

This policy does not cover internal staff grievances, which are addressed through separate internal procedures.

3. What Constitutes a Complaint?

A complaint may involve (but is not limited to):

Dissatisfaction with the quality of service received

Concerns about conduct, behavior, or communication

Issues with policies, procedures, or decision-making processes

Perceived breaches of confidentiality or professional ethics

4. How to Make a Complaint

Complaints should be made in writing and include:

Your full name (anonymous complaints will be considered where appropriate)

A clear description of the issue

Relevant dates, locations, and names involved

Any steps you have already taken to resolve the issue

Written complaints can be submitted through our official feedback form on our website or directed to our administration team.

5. Response Process

Once a complaint is received:

Acknowledgment – We will acknowledge receipt of your complaint within 5 business days.

Investigation – A designated team member will review the matter. This may involve gathering additional information or speaking with relevant individuals.

Resolution – We aim to provide a written response within 15 business days. If the issue is complex, we will update you on progress and expected timeframes.

Follow-Up – If appropriate, we will implement improvements or corrective action to prevent future concerns.

6. Escalation

If you are not satisfied with the outcome, you may request a review by a senior member of the organization. External escalation (e.g., to a regulatory or accrediting body) is also an option in cases involving ethical or professional misconduct.

7. Confidentiality

All complaints are handled with sensitivity and confidentiality. Information will be shared only with those involved in resolving the matter, in accordance with our privacy policies.

8. Non-Retaliation

We do not tolerate retaliation or disadvantage toward anyone who raises a complaint in good faith.

9. Policy Review

This policy is reviewed annually to ensure it remains effective, fair, and up-to-date.
